All purchases require prior approval. Do not place orders until you have received an approved Purchase Order.

How to Submit a Requisition

1. Log in to the ESS (Employee Self Service) System.
2. Select My Request > Order Requisition Entry > Add New.
3. Enter all requested information and provide detailed descriptions for each item.
4. Enter each item on a separate line.
5. Click Save, then select Route to submit for approval.
6. Wait for approval before placing any orders

Important: A requisition number is not the same as a purchase order number. Orders cannot be placed without an approved purchase order.

Amazon purchases must be completed through the ESS system.

Steps:

1. Log in to ESS and select American Express under Online Shopping.
2. Shop as usual and add items to your cart.
3. At checkout, verify the shipping address and select free shipping whenever possible.
4. Submit your order for approval.
5. Complete the requisition information, including account code, shipping location, and buyer.
6. Click Transfer, then Save and Route.

All local purchases require approval before visiting the store.

Steps:

1. Stop by the District Office.
2. Request a Yellow Local Purchase Order Form.
3. Bring the form with you to the store when making the purchase.
4. Submit your receipt and enter the requisition in ESS within 48 hours of the purchase.

All district vehicles and buses are reserved through the District Office.

Steps:

1. Complete and submit a Vehicle/Bus Request Form.
2. Once approved, you will receive a confirmation email.
3. Pick up vehicle keys from the District Office on the day of travel and return them immediately after your trip.
4. Complete the vehicle mileage log before and after your trip.
5. Refuel all school vehicles at Kwik Trip in Wabasha or Kellogg before returning them.
6. Submit gas receipts to Accounts Payable within 48 hours.

1. Access the Professional Leave Request Form here or the District Office.
2. Complete the form and obtain required approvals.
3. Contact Lisa regarding hotel reservations, registration fees, and other pre-approved expenses.
4. Submit receipts for reimbursement within 48 hours of your return.
   
   Reimbursements are processed by check and issued weekly.
